Privacy

If you work at a company that uses SphinxHire (a recruiter, hiring manager, interviewer or admin), we handle your account: your name, work email, phone number if you add one, your email signature, and a record of what you do in the app. We are responsible for this information.

If you apply for a job through SphinxHire, the company you applied to decides what it collects and how it uses it. We store and process your application for that company, on its instructions, and only for its hiring. Its own privacy notice is linked from the application form. For questions about your application, contact that company first; we will help it answer you.

• Account details, as above, and how you sign in (password or Google).
• What companies put into SphinxHire: jobs, candidates, resumes, notes, interview feedback, emails and reports.
• Technical records: when you signed in, the pages you used, and errors, to keep the service secure and working.
• If you ask for a demo: your name, work email, company, and anything you tell us.

SphinxHire's AI reads applications and resumes to score how well each applicant fits a job, explain why, and draft job descriptions. It helps a company's team decide what to read first. It never makes a decision on its own: a person moves, rejects or hires every applicant, and every score shows its reasons.

We do not use companies' or applicants' information to train AI models.

If you connect your Google Calendar, SphinxHire asks only for permission to manage calendar events. We use it to add, change and remove the interviews you schedule in SphinxHire, with a video meeting link. We do not read your other events, and we do not share this access with anyone. You can disconnect at any time in Your profile, which also tells Google to remove our access.

SphinxHire's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Information is stored on secure cloud servers in India. We use a small number of trusted service providers to run SphinxHire: our cloud provider (servers, database, file storage, sign-in and AI) and our email delivery provider. Each may use the information only to provide its service to us. A list is available on request.

We never sell information, and we never show advertising.

• Each company's information is walled off from every other company's, down to the database.
• Everything travels encrypted, and people see only what their role allows.
• Deleted items go to a recycle bin for 30 days, then are removed for good.

We use only the cookies SphinxHire needs to work: one that keeps you signed in and one that remembers which company you are working in. No advertising or tracking cookies.

Account information is kept while your company uses SphinxHire. Companies decide how long they keep candidates, and can delete them at any time. When a company stops using SphinxHire, we delete its information after giving it the chance to export it, unless the law requires us to keep something longer.

Under India's Digital Personal Data Protection Act, 2023, you can ask to see the information we hold about you, correct it, or have it erased, and you can withdraw consent where we rely on it. Candidates can ask the company they applied to, and anyone can write to us at privacy@sphinxhireai.com. We reply within 30 days.

If you are unhappy with our answer, our Grievance Officer can be reached at the same address, and you may also complain to the Data Protection Board of India.

If we change this page in a way that matters, we will tell the companies that use SphinxHire before the change takes effect. The date at the top shows the latest version. See also our Terms.
